Job Description

Assists and supports Project Managers in coordinating the activities of a project to ensure cost, schedule, and quality standards are met.  Perform various administrative duties to support project management including but not limited to computer requirements, paperwork, and communications, scheduling, and purchasing and tracking materials.

Essential Duties and Job Responsibilities:

  • Assist Project Manager by obtaining pricing for the development of cost estimates
  • Assist in the bid process with subcontractors by notification of project, creating bid forms obtain bid bonds, notices of addendums, record keeping and filing of submitted bids
  • Complete material takeoffs
  • Assist Project Manager in obtaining required permits for projects from governmental agencies and in coordinating required inspections by appropriate inspectors
  • Prepare subcontracts with project manager
  • Create electronic and hard copy project files and maintain document control and distribution
  • Assist in the development and maintenance of construction project schedules
  • Manage submittal process – receive, review, distribute and track submittals and submittal packages
  • Assist Project Manager with processing shop drawings
  • Assist Project Manager and Superintendent in coordinating the work of each trade
  • Manage distribution of meeting minutes
  • Assist in the development of punch lists and the follow-up necessary to ensure timely completion of work
  • Create closeout documents to include warranties, material specifications, as-builts, plans, and certificate of occupancy
  • Perform various office support services such as coordination of office correspondence, maintain monthly calendar and filing
  • Coordinate accounting needs and information between Jacksonville and Gainesville offices
